Plain-language explanation of what we collect on this website, why, and what we do not do with it.

This policy explains how CRM For Claims handles personal information on this website, crmforclaims.com. We have written it to describe what this site actually does — not a generic template.
The short version: the only personal information we receive is what you type into the demo request form — and we use it to reply to you. We also use Google Analytics to see how many people visit and which pages they read; that uses cookies, and you can opt out (section 3). We carry no advertising or social media pixels, we do not track you across other websites, and we never sell or rent your information.
1. Who this policy covers
This policy covers the public marketing website at crmforclaims.com — the pages you are reading now.
Our software application is a separate system at app.crmforclaims.com, which requires an account to access. Information handled inside the application is described in section 9 below.
2. What we collect
Information you give us
When you submit the demo request form on this site, we receive:
- Your full name (required)
- Your email address (required)
- Your phone number (optional)
- Your company name (optional)
- The message you write (optional)
That is the entire form. If you would rather not use it, you can call or email us instead — the details are at the bottom of this page.
Information collected automatically
Like virtually every website, our web server keeps standard access logs. These typically record your IP address, the date and time, the page requested, and your browser type. We use them only to keep the site running securely and to diagnose technical problems.
We also use Google Analytics to understand how the site is used — see the next section.
3. Analytics and cookies
This website uses Google Analytics 4 to measure how many people visit, which pages they read, and whether the site is doing its job. This is the only tracking technology on the site.
What that means in practice
- Google Analytics sets cookies in your browser (named
_gaand similar) so it can tell whether you are a new or returning visitor and group your page views into one visit. - It records things like the pages you view, roughly how long you stay, the approximate location Google derives from your IP address (typically city level), your device and browser type, and how you arrived (for example a Google search or a direct visit).
- Google states that Google Analytics 4 does not log or store IP addresses — the address is used to work out approximate location and then discarded.
The actions we count
Besides page views, we ask Google Analytics to record a small number of anonymous actions so we can see what actually helps people: submitting the demo form, clicking a phone number, opening the product demo video, and clicking through to sign up for a plan.
Important: these measurements record that an action happened, never who did it. We do not send your name, email address, phone number, company, or message to Google Analytics. The content of your form submission goes only to our own mailbox, as described in section 6.
How to opt out
- Install Google's official Google Analytics Opt-out Browser Add-on, which blocks it on every site you visit.
- Block or delete cookies in your browser settings, or browse in private/incognito mode.
- Use any standard content or tracker blocker — we do nothing to work around them.
Blocking analytics does not break this website. Every page, and the demo form, work exactly the same.
4. What this website does not do
We think this matters as much as what we do collect:
- No advertising or social pixels. No Meta/Facebook pixel, no Google Ads tag, no TikTok or LinkedIn tag, no retargeting pixels of any kind.
- No cross-site tracking and no advertising profiles built from your visit.
- No session or login cookies on this marketing site — the only cookies here are the Google Analytics ones described above.
- No third-party video or chat widgets. The product demo video is served from our own server.
- No selling or renting of your information. Ever.
5. Why we use your information
We use what you submit through the form only to:
- Reply to your question or demo request
- Schedule and prepare a walkthrough of the product
- Follow up about that specific enquiry
- Keep a record of the request for our own business records
You are contacting us about a business product, and we use your details to respond to that request. We do not add you to unrelated marketing lists, and if you ask us to stop contacting you, we will.
6. Who else can see it
Your information is handled by a small number of parties, all necessary to run the site and answer your message:
- Our email provider (Google). The form sends your message as an email to our team mailbox using an authenticated Google (Gmail) connection, so Google processes the message as our email provider.
- Google Analytics. Receives the anonymous usage measurements described in section 3 — never the contents of your form.
- Our web host. The site runs on managed hosting. A copy of each submission is also written to a protected log file on the server, so that a request is never lost if email delivery temporarily fails. That file is not accessible from the web.
- Google Fonts. This site loads its typeface from Google's font servers (fonts.googleapis.com and fonts.gstatic.com). As with any externally hosted resource, your browser's request means Google receives your IP address and browser information when the page loads. We do not receive any data back from this.
There are no other third parties on this website. The product demo video is hosted on our own server, not on a video platform, so watching it does not expose you to a video company's tracking.
We may also disclose information if we are legally required to do so, or where necessary to protect our rights or the security of our systems.
7. Spam protection on the form
To stop automated spam we use two simple techniques that require no third-party service: a hidden field that real visitors never see and never fill in, and a check of how quickly the form was submitted after the page loaded. There is no CAPTCHA on this form and no bot-detection service receives your data.
8. How long we keep it
- Demo and contact requests: we keep them for up to 24 months from your last contact with us, so we can pick up the conversation where it left off. You can ask us to delete yours sooner at any time.
- Server access logs: retained by our hosting for a limited period as part of normal server operation, then rotated and discarded.
- Google Analytics data: retained by Google for up to 14 months, after which it is deleted automatically. The analytics cookies in your own browser expire on their own, and you can delete them at any time.
9. The application (app.crmforclaims.com)
CRM For Claims is software that restoration and roofing companies use to manage their insurance claim work. That application is a separate, password-protected system and is not part of this marketing website.
- Information entered into the application by a customer company — including details about their own projects, contacts, and claims — belongs to that company. We process it on their behalf under our agreement with them, and we do not use it for our own marketing.
- Subscription billing is processed by Stripe. Card details are entered with Stripe and handled by Stripe as the payment processor — full card numbers are not stored on our servers.
- If you are an end customer of one of our client companies and want your information corrected or removed, please contact that company directly, since they control that data. We are happy to assist them.
10. Your rights
Whoever and wherever you are, you can ask us to:
- Tell you what information about you we hold
- Correct anything that is wrong
- Delete your information
- Stop contacting you
Just email info@crmforclaims.com. We will respond within 30 days. We will not treat you differently for exercising these rights.
California residents
Under the CCPA/CPRA you have the right to know what personal information we collect and why, to request deletion, to correct inaccurate information, and to opt out of the sale or sharing of personal information. We do not sell or share personal information as those terms are defined by that law, and we do not use it for cross-context behavioural advertising. Our use of Google Analytics is for measurement only — it is not connected to any advertising product, and it does not build advertising audiences from your visit.
Visitors from the EU and UK
If you are in the EU or UK, we process your form submission on the basis of your request to be contacted and our legitimate interest in responding to business enquiries. You may request access, rectification, erasure, restriction, or portability of your information, and you may object to processing. You also have the right to complain to your local data protection authority.
11. Security
This site is served exclusively over an encrypted HTTPS connection. Server-side configuration files, mail credentials, and the submission log are blocked from public web access, and access to enquiry data is limited to the people who need it to answer you. No system can be guaranteed perfectly secure, but we take this seriously and keep our stack patched.
12. Children
This is a business software website and is not directed at children. We do not knowingly collect information from anyone under 16.
13. Changes to this policy
If we change how this site handles information — for example if we add a new form, a new tracking tool, or an advertising pixel — we will update this page and change the "last updated" date above. Material changes will be reflected here before they take effect.
