Three pipeline stages (a lead stage, Completed/ Closed and Cancelled), 20 lead sources, the 34 claim folders, and every city, town and village of the state you chose in Building Departments. Claims, contacts, carriers, mortgage companies and extra users are added by you.
Claims CRM implementation: what a new account starts with, and what you set up
Vendors describe setup in hours and days. This page counts things instead: what CRM For Claims creates for your company when you sign up, which lists are empty until you fill them, and the jobs an administrator does before the first claim goes in.
What is in the account one minute after sign-up
The left side is created for your company when the first sign-up screen is saved. The right side is yours to fill.
Already there
Empty until you fill it
- Claims and contacts
- Insurance companies and their adjusters
- Mortgage companies
- Users other than you
- What a stage does when a claim enters or leaves it
- Project team positions and commission percentages
The building departments arrive with the city name, county and ZIP codes. Phone numbers, permit instructions and portal logins are your office’s own notes, so those fields start blank and nobody else’s notes are copied into your account. Carriers and lenders work the same way: each company keeps its own list, and yours grows as you add the ones on your claims.
The sign-up form is three screens
Essentials and Professional are bought on the form itself. There is no call to book first and no contract to sign.
1. Company
Company name State you work in2. Admin user
First and last name Email Password, six characters or more, typed twice3. Plan and payment
Essentials or Professional Card details The first month is charged on this screenIf you work alone and have no company name, the form asks you to type your own name there. The person who fills in the second screen becomes the first user and gets the admin access level, which opens every setting described below. Billing is monthly and you can cancel at any time. Essentials is $59 a month and Professional is $99, each with the company account and that first admin user included; the pricing page lists what each plan contains.
Enterprise is the exception. It is not sold on the form: you talk to us first, and that plan is the one that lists onboarding support and configuration done with you.
Three stages to begin with, and the rest is yours to write
A public adjuster’s file and a roofing contractor’s job do not pass through the same steps, so the product does not hand you a finished pipeline. You get a first stage for leads and two closing stages, and you add what happens in between: waiting for the carrier’s inspection, waiting for the permit, collecting the final payment, or whatever your office calls those steps.
Each starting stage already sorts its claims into four age bands, so a file that has sat for more than 90 days is separated from one that arrived last week. No starting stage does anything by itself yet. Tasks created on entry, the rules that stop a claim moving with work still open, and who is allowed to move a claim on are all switched on by you, stage by stage. How stages are written and what a stage can be told to do each have a page.
Setup jobs before the first claim, and the screen for each
| Job | Where it is done | What to know |
|---|---|---|
| Write your stages | The pipeline settings | Add the steps between lead and closed, in your office’s words, and decide what each one does on entry and on exit. |
| Add your people | Users | Each added user is a paid seat at $39 a month. Give each one an access level and tick the screens they need. |
| Set the default project team | Settings, Project Team Defaults | The first Primary Representative row cannot be removed. Add other positions with a commission percentage each; the total cannot pass 100%. |
| Tidy the lead sources | Settings, Lead Sources | Add your own, rename the ones that do not fit, and drag them into the order your intake person reads them. |
| Rename or hide folders | The folder editor | The 34 can be renamed, reordered and hidden, and you can add your own. |
| Add states you work in | Building Departments | One action loads every municipality of another state. A state loaded by mistake can be removed the same way. |
| Connect outside tools | Settings, Website Leads and Company Cam | Optional. The website form, CompanyCam and Google Calendar are each switched on separately. |
Only the first two rows are needed before a claim can be worked by more than one person. A solo adjuster can skip the second as well. The others can wait until the day you need them: you will know a folder name is wrong the first time somebody asks where to put a file.
Adding people is the one job that costs money. The seat is charged when the user is added, and the access level and tick list you give them decide what they see. The three access levels and the per-screen permissions are set out under user roles and permissions, the folders under claim document management, and the three outside connections under integrations.
Bringing over the claims you already have
There is no import screen. You cannot upload a spreadsheet of open claims or an export from another CRM and have projects and contacts created from its rows. Open claims are entered by a person, one project at a time, and their documents are uploaded into the claim’s folders. A spreadsheet or a PDF export from your old system can be kept on the claim as a file like any other document.
- Most offices enter the claims that are still open and leave closed ones in the old system, where they stay readable.
- Carriers and mortgage companies are typed in once, the first time a claim needs them, and picked from the list after that.
- If the count of open claims is in the hundreds, ask us on a call before you sign up, so you know the amount of typing ahead of you.
What to keep from the old system, and how to check nothing was lost, is covered in our article on moving to a new CRM without losing customer history.
